Here's what's new, organised by the three stages of the clinic lifecycle.

Across three releases from January to March 2026 — Manage **11.9, 11.10, and 11.11** — we've focused on giving clinics the tools to close the gap between care delivered and revenue collected, while strengthening the data foundations that everything else depends on.

**This Q2 release brings these improvements** together in a single, cohesive update. It strengthens how clinics operate before the visit, during care, and after the visit — and adds market-specific depth for Australian, U.S., and New Zealand customers without compromising the global consistency that multi-region groups depend on.

## Pre-Clinic: **Cleaner Data, Clearer Choices**

The pre-clinic experience sets the tone for everything that follows. When patients can't easily understand what to book, they hesitate, abandon, or book the wrong appointment — creating rework for the front office and missed revenue for the clinic. When staff create patient records with missing or inconsistent data, those gaps cascade into failed outreach, broken claims, and distorted reporting downstream.

This release tightens both ends of that loop: clearer choices for patients, and cleaner data at the point of patient creation.

**1.**[Online Booking](https://www.auditdata.com/features/online-booking/ "Online Booking") Reasons — External Titles & Descriptions
Online booking previously surfaced internal appointment codes directly to patients. Manage 11.9 introduces external-facing titles and descriptions for each bookable reason — so patients see "Hearing Test for New Patients" rather than a clinical shorthand. Reduces misbookings and front-desk follow-up calls. The system falls back to the internal name if external fields haven't been configured yet.

**2.**Online Booking Localisation
Booking availability rules and region-specific logic now apply to the Australian and US markets separately — patients see the right options for their region, reducing booking errors caused by mismatched availability windows or appointment types.

### **Back-End Administration**

**1.**Mandatory Preferred Phone Number
Staff can no longer save a patient record without a valid preferred phone number. This enforces contact data quality at the point of patient creation — before any appointment is booked — ensuring reliable outreach and reducing downstream claims failures caused by missing contact details.

**2.**Default Appointment Statuses
Appointment status options are now configurable per clinic before the working day begins. Each location can define the statuses that reflect its actual workflow, rather than working around a fixed system-wide list.

**3.**Configurable Patient Number Prefix
Multi-brand and multi-tenant environments can now set tenant-level patient number prefixes, keeping identifiers meaningful and non-conflicting across locations before a patient record is ever used.

**4.** Patient Status Filter in Reports
Reports now clearly distinguish active from archived patients. Inactive records no longer distort KPIs — your reporting baseline is clean before analysis begins.

In-Clinic: **Complete Clinical Records, Complete Compliance**

During the visit, clinical teams need the full patient picture, not fragmented data across tabs and exports. They also need confidence that what's documented today will hold up to tomorrow's audit. This release improves both the completeness of the clinical record patients carry with them, and the traceability of the devices clinics dispense.

For U.S. clinics, hearing aid trials are a central part of audiology workflows. This release brings them fully into Manage.

### **Patient-Facing**

**1.**Speech Results in Clinical Data
Speech audiometry results are now visible on the clinical data tab and available in appointment letters and referrals sent to GPs, ENTs, and other specialists. The full clinical picture now travels with the patient — without extra manual steps from the audiologist.

**2.**Hearing Aid Trials
Full hearing aid trial lifecycle management is now built natively into Manage for US clinics. From trial initiation through to return or conversion — managed in the system your team already uses, without spreadsheets or manual tracking. Hearing aid trials are a central part of US audiology workflows, and Manage now supports them end-to-end.

### **Back-End Administration**

**1.**Mandatory Appointment Status
A status must now be selected before any appointment can be closed. This ensures outcome data is always complete — sharpening utilisation analytics, tightening claims processing, and eliminating the rework that comes from appointments with no recorded outcome.

**2.** Serial Number MDR Compliance
Serial numbers can now be tied to products at category level, meeting EU Medical Device Regulation (MDR) traceability requirements. Hearing aids are classified as medical devices under EU law, requiring manufacturers and distributors to maintain traceable device records throughout the product lifecycle. This update makes Manage audit-ready for those requirements.

**3.**NZ Serial Number Controls
A new control prevents serial numbers from being assigned to uninvoiced sales in New Zealand — closing a compliance gap specific to the NZ market and ensuring device records remain accurate at the point of dispensing.

## Aftercare: **** **Closing the Revenue Loop**

After the visit is where most revenue leakage happens — in the gaps between quoting, claiming, and collection. Quotes go unanswered. Claims sit invisible in the queue. Receivables age across multiple payers with no consolidated view. Reconciliation lives in spreadsheets.

This release brings that visibility into Manage itself, with new reports, automated workflows, and a payment infrastructure built for the markets where revenue collection is most complex.

**1.** BPAY Support
Patients can now pay invoices issued through Manage via BPAY — Australia's national bill payment system, accepted by all major banks. Patients pay using a biller code via internet banking or phone, reducing friction at the final collection step and capturing payments that would otherwise require follow-up chasing.

**2.**Sale Notes on Sale Documents
Internal notes now appear on patient-facing sale documents, giving both finance teams and patients clearer context around transactions — without requiring staff to hunt for the background behind a sale.

### **Back-End Administration**

**1.** Open Quotes [Report](https://www.auditdata.com/features/reporting/ "Reporting")
A filterable, exportable view of all active quotes that haven't yet converted to invoices — showing elapsed days, quote values, deposits, and purchase order references. Replaces ad-hoc exports and local spreadsheets with a single standardised view across all locations.

**2.** Payer Overview Report
Aged receivables broken down by third-party payer, separate from patient balances — in both summary (aging buckets per funder) and detail (invoice-level drill-down) views. Filterable by region, location, date range, and configurable age-from logic. Supports targeted collections focus and cashflow forecasting across multi-location groups.

**3.** Open B&M Claims Report
A dedicated view of all open Battery & Maintenance (B&M) claims under the Australian Government's Hearing Services Program — so nothing sits invisible in the claiming queue. HSP B&M funding covers patients who need hearing aids in both ears, and tracking open claims previously required manual exports.

**4.** HSP B&M Auto-Quotation
Quotations for HSP Battery & Maintenance claims are now generated automatically in Manage — removing the manual admin step that previously required billing staff to create each quotation by hand. The claiming cycle is faster, and the risk of missed or delayed submissions is reduced.

**5.** Bulk Payment API
Automates [payment](https://www.auditdata.com/features/billing-and-payments/ "Billing and Payments") reconciliation at enterprise scale and enables payment processing to integrate directly with back-office systems. Particularly relevant for large multi-site groups managing high transaction volumes across multiple regions.

Individually, these improvements help specific teams: front office gets cleaner bookings, clinicians get complete clinical records, finance gets a true view of receivables. Together, they connect how every team works across the full clinic lifecycle.

This Q2 release isn't about a single feature or department. It's about giving clinics — across every size and every region — a clearer, more consistent way to close the gap between the care they deliver and the revenue they earn.
