The basic package AA is not only fully equipped for the daily practice of the hearing care professional. The system itself has a rich equipment with various external packages, which enables us to set up your practice relatively easily for all mandatory disciplines.

Noah4 integrated

As an active Noah member from the very beginning, we as an organization are very familiar with all Noah applications and their associated integrations. Within the Netherlands, AcouSoft is the only organization with in-depth knowledge (both audiological and system technical). Noah is fully integrated within AA, as a user you no longer notice whether you are working with Noah or AA.

NVAB article file incl. HSN link

A good administration package often stands or falls with a complete and honest maintained article file. The NVAB article file has been around for years and is used by many hearing care professionals as the basis of the article file. Over time, the HSN number has been added. The HSN number is a number that is assigned by ZN to a hearing aid category. Recently, there have been reports for health insurers based on this number. The NVAB article file (freely accessible to all) periodically provides a link with the HSN number. Both are then placed on the AcouSoft site. When updating the article file in AA, all NVAB numbers are provided with a corresponding HSN number.

Links with Loyalty packages

Loyalty companies are organizations that take over certain marketing activities from you. For example, they provide various actions and mailings to your customers. An essential part of this is that loyalty companies must have access to your current data. If your organization has entered into a contract with the loyalty company in Rotterdam, a service will be activated with which the loyalty company can retrieve the necessary data for the desired mailing at any time. In addition, she will post a message for each customer used for each action the company has performed for you. This way you have insight into which customers have been involved in a mailing and what their response has been.

MS Office

Within AA, various links with both MS Word and MS Excel are possible. In this way, in addition to the standard reporting overviews (often lists), you can also release graphs and various calculations on the AA figures within Excel, without doing violence to the source of the data (AA). MSWord is again an excellent link for mail merge applications (for example 5 year letter) and additional additions for prescriber approval reports.

Extensive customer registration

For each customer, not only demographic data is registered, but also address details of family members for the purpose of sending invoices to them. Additionally, insured data, both primary and supplementary, is recorded using Uzovi and policy numbers of the insurances, obtained through a COV (check on insurance law). Furthermore, data related to prescribers and general practitioners is also collected.

Vecozo, Famed and Icodis+

Connections to 3rd Party Tools

AudicienAssist links with the various declaration Portals, including Vecozo, Famed and Icodis+. It can also serve as a basis for various financial systems, with connections built for both Exact and Snelstart. Of course, there are multiple financial systems & declaration portals on the market that can also use the mentioned connections.

Extensive customer registration

Not only registration of demographic data per customer, but also address details of family members in connection with sending invoices to the customer's family members. 

Insured data (main. As additional insurance) by means of Uzovi and policy numbers of the insurances. This data is obtained by means of a COV (check on insurance law) 

Prescriber and GP data.

Serial number bound articles

Hearing aids, remote controls and countless products have serial numbers. The system keeps a detailed record of all serial number-bound items. 

A serial number bound article has both an original and current serial number. The user can decide for himself (except for hearing aids) for which articles he wants to keep a serial number registration. Purchases on trial, sales and service of serial number items are done per serial number.

Order book

All ordered items are placed in a list of open orders. Purchases are reconciled via this open order list. Orders can be emailed to the relevant supplier

Request authorization

In addition to requesting a comprehensive quote, you can also use AA to print out authorizations for healthcare provision to the associated health insurer. An authorization consists of demographic data of the customer also of the insured and article data. The latter are accompanied by the corresponding GPH codes per article. 

Keep track of outstanding tests

All items, serial number and non-serial number related items that have been delivered to the customer but have not yet been invoiced are kept in the system. 

This provides an overview of all open trials with trial periods.

Statements of satisfaction

All health insurers require that after a successful trial with a hearing aid, the customer completes and signs a so-called declaration of satisfaction. In this, the customer indicates that he or she is satisfied with the hearing aid(s). 

Each insurer has its own model of satisfaction declaration. In addition to the basic satisfaction declaration, AA knows all the different models per health insurer. 
 

(Triage) Intake according to Star

Multiple intakes possible per customer. These are based on the current Starr regulations and can be adjusted and printed at any time. 
 

Tracking repairs of all serial number related items

Items can be offered for repair to the supplier. Each repair has extensive complaints and work registration. A history of this is visible within AA on the serial number. 
 

One-off and continuous authorizations (SEPA)

Subscriptions are integrated as we have just described via a continuous authorization. In addition, there is also the possibility to collect a one-off sepa direct debit. 

Both options are possible within AA. Please note that you must request permission from your bank to work with Sepa. In addition, your customer must sign a mandate declaration. This authorizes you to collect Vd amounts.

Various reporting options for your own organization as well as mandatory reports for health insurers

Since AA is specially designed for the hearing aid industry in the Netherlands, the product also contains a variety of reporting tools that are desirable and even mandatory for the Dutch industry. 

The system has a variety of different satisfaction declarations. Satisfaction declarations are imposed by the health insurers, which the customer must sign at the end of the trial. 

 We currently have satisfaction statements for the following health insurers: DSW, CZ, VGZ, Multizorg, Friesland, Achmea and our own model. 

Approval requests Prescribers and GPs

For some hearing care professionals it is normal to keep a prescriber and/or GP informed of the hearing aid results at the end of a trial period. 

The system contains reporting options for both a prescriber and the client's GP. 

Subscriptions

It is possible to create subscriptions, for example for the delivery of extra-category HEARING AIDS, whereby the customer pays a monthly amount. This subscription is linked to an article and is collected from the customer monthly via a direct debit via SEPA. 

The system keeps an overview of all concluded subscriptions, which are automatically invoiced to the customer monthly. 

Agenda management

Agenda based on MS Outlook, where the system takes into account, among other things: 

  • Employees with the customer actions they are allowed to perform 
  • Spaces (fitting rooms) linked to the customer actions that may be performed within the space 
  • Actions contains all actions with color indication. These are accompanied by average action duration) 

Intelligent price and reimbursement calculations for various healthcare products per health insurer (UZOVI)

When building a quote or creating a trial voucher (delivery note), the system can apply the correct price and reimbursement calculation per placed article based on the Uzovi code of the health insurer. This applies to both basic and supplementary insurance. 

These so-called calculation rules can be adjusted per year. This way you can define new race rules for the new year in advance. These will only take effect in the new year 

For Hooprofs and CVZA members, the calculation rules are adjusted annually and sent to their members. 

Billing / Declaration facility

Invoicing a care delivery consists of two invoices, a client image and a care goal. The latter is sent electronically to the health insurer as a LH 307 file 

Invoicing is also possible for customers only, so without declaration to health insurer 

The items on the invoice form the basis for the link with your sales booking in your financial accounting, the back office. 

Mailing facilities for marketing purposes

All possible selections on customers and their hearing aids, including health insurers with which the customer is insured, can be performed by the customer using a wizard. 

The result can be loaded as a list in Excel for further processing, or can be linked to a Word template from which it can be sent directly by email.
